Toggl Track Vocabulary

A guide to some of the most commonly-used terms and phrases in Toggl Track.

User Account

Your account is connected with your e-mail address (the one you use for logging in). You can have several Organizations connected with one user account. User accounts are managed from the Profile page.

Organization

Organizations sit at the top of the data hierarchy. Track organizations most closely relate to companies in the real world. A single user account may belong to multiple Organizations.

Subscriptions are also tied to Organizations. This means that a single user account can, theoretically, have many paid subscriptions.

Workspace

Everything you do in Toggl Track gets allocated to a workspace: time entries, projects, clients, etc. Large companies may create multiple workspaces within their organization via the "multi-workspace" feature.

To open settings for a particular workspace, click on Organization > choose Workspace from Workspace tab > Click Settings. Read more about Workspaces

Team

Toggl Track is a team based time tracking service. You can invite Team Members to your Organization, add them to individual Workspaces, assign Tasks and Projects to them, and run Reports on the time they've tracked.

Team Page

User Groups

User Groups streamline the process of assigning projects to users. To create a User Group, navigate to the Organization page and select the User Groups tab. From there, you can add users to your group via the Team page. The group can then be allocated to a specific workspace or project.

Immediately upon creation, all users in the group become members of the assigned workspace or project. To provide access to a new user, simply add them to the group with a single click. This will automatically grant them all the necessary permissions

User Groups

Client

Clients have a one-to-many relationship with Projects. A single Client can be associated with many Projects, but a single Project may have only one Client. Clients can be created from the Clients page.

Time Entries cannot be assigned directly to Clients. Time Entries must be added to a Project which is connected to a Client.

Project

Projects are the primary categorization object in Toggl Track. Projects can be created from the Projects page or from the Timer page. You can assign Time Entries, Tasks, and Clients to Projects. Read more about projects.

Tasks

Tasks in Toggl Track are essentially sub-projects. They are created for a specific project and can be assigned to a specific team member. Manage and create new Tasks on the Projects Task page. Read more about Tasks.

Note: Tasks are a feature available on paid plans.

Time Entry

A time entry is the data object that contains your time. Each time entry contains information about the start & stop time and duration. Information such as the description, project, and tags can also be added to a time entry. 

In the example below...

  • Copywriting is the time entry description

  • Design is the project associated with the time entry

  • Company LLC is the client associated with the "Design" project

  • Antelope is the tag added to the time entry

  • $ icon signifies that this entry is billable

  • 30:03 is the duration of this time entry

Tags

Tags let you add additional information to Time Entries. You can make new Tags when starting a time entry, from the Tags tab, or from your Workspace Settings panel. Read more about how to use Tags.
