Availability Settings: Time Off, Work Hours, and Public Holidays
This guide will walk you through setting up time off, work hours, and understanding how public holidays are displayed in Toggl Focus.
Your availability settings tell Toggl Focus when you're actually able to work. Getting these right means the Timeline view reflects realistic capacity for you and your team — so no one ends up overbooked on a day they're in meetings, on holiday, or simply not scheduled to work.
Managing Time Off
Adding time off to your profile removes you from available capacity during that period. Your teammates and manager will see you as unavailable on the timeline, which helps with scheduling decisions before work gets assigned.
How to add time off:
- Go to Settings.
- Scroll to the Availability section and select Time Off.
- Set the start and end dates.
- Click Save. Your time off will now appear on the Timeline view and be factored into capacity planning.
How to remove a time off entry: Click the three-dot menu (…) next to the entry and select Delete.
Setting Your Work Hours
Working times define the hours you're available each day. This shapes how capacity is calculated on the timeline — for example, if you work six hours on Fridays, tasks scheduled for that day are planned against six hours, not eight. Admins can also set these on behalf of team members.
How to set work hours:
- Go to Settings.
- Scroll to Availability and select Work Hours.
- Set your Total weekly hours
- Choose one of three options:
- No schedule — no working time restrictions applied.
- Standard 8-hour schedule — a preset 8-hour workday, Monday to Friday.
- Custom schedule — define your own hours for each day of the week.
To turn working times off, go back to Working times and select No schedule.

Add work hours on behalf of team members as a Workspace Admin:
- Go to Members
- Click on the name of the team member
- Scroll to Working hours
- Add the Total weekly hours and set daily availability, if necessary

Public Holidays
Public holidays are detected automatically based on your IP address. They're factored into capacity calculations the same way time off is — team members aren't shown as available on public holidays in their region.
