Time Off Management

This guide explains Time Off Pro — what it adds on top of the Time Off already included with your plan, how to start a trial or subscribe, who can do what, and how billing works.


Time Off Pro is a paid add-on that gives your organization a managed, team-wide system with approvals, balances, and policies.


Overview


Time Off Pro brings time off tracking to your workspace, including everything a team needs to manage it:

  • Personal logging — request and view your own time off.
  • Approvals — requests can require sign-off from a manager or admin.
  • Balances — track how much time off each person has accrued and used.
  • Categories and policies — define time-off types (vacation, sick, parental, and so on), each with its own rules.
  • Team time off — managers can view and approve time off for their team.

The module is org-wide: if your organization uses both Toggl Track and Toggl 2.0, one subscription covers Time Off in both.


Roles and permissions


What you can do with Time Off depends on your role. These permissions work the same way whether your organization uses Track, Toggl 2.0, or both.

Role

What they can do

Owner / Admin

Full management: create and manage categories and policies, manage balances, approve or reject any request, view everyone's time off, and manage the Time Off Pro subscription and seat assignments.

Team Lead

Approve or reject requests from their own team. New requests are automatically routed to the requester's team lead(s).

Member

Request their own time off, view their own entries and balance, and view available categories. Can't approve requests or manage settings.

Approving requests isn't limited to admins — a Team Lead can approve their own team's requests, and admins can approve anyone's. In Track, only users assigned a Time Off Pro seat have any access to time off tracking.


Getting Time Off Pro


There are two ways for an admin to turn on Time Off Pro:


1. Start a free 30-day trial

  • No credit card required.
  • The trial runs for 30 days.
  • Each organization gets one trial across Toggl Track and Toggl 2.0. Once it's been used — even if it expired or was cancelled early — that organization can't start another.
  • When the trial ends, Time Off turns off for everyone in Track — including personal logging — until the organization subscribes.
  • To get Time Off Pro back after a trial, you'll need to subscribe.

2. Subscribe

  • An admin can add Time Off Pro as a paid add-on at any time.
  • It appears as a separate line on your existing Toggl invoice — you won't receive a second bill.
  • Your organization needs an active paid Toggl plan (or an active trial) to add Time Off Pro. If you're on the Free plan, you'll need to upgrade your core plan before you can subscribe to Time Off Pro. The 30-day Time Off Pro trial itself doesn't require a paid plan, but keeping Time Off Pro after the trial does.


Pricing and billing


  • Per seat — you pay only for the users you assign to the module, not your whole organization.
  • Annual billing is simply 12x the monthly price — there's no annual discount.
  • Time Off Pro charges appear as a separate line item on your existing subscription invoice.
  • If a user uses Time Off Pro in both Toggl Track and Toggl 2.0, you're billed once for that person.

Assigning seats: Subscribing to Time Off Pro gives your organization access to the module, but it doesn't automatically turn it on for every person. An admin assigns specific members to Time Off Pro from the admin console. Your bill is based on how many members are assigned — add someone and the charge goes up, remove them and it goes down.


Troubleshooting


I can't find Time Off anywhere in Track.
Time Off isn't available in Track by default. Ask an admin to start a trial or subscribe, and confirm you've been assigned a seat.


Some people can see approvals and balances, but I can't.
You likely haven't been assigned a seat yet. Ask an admin to assign you to Time Off Pro.


Time Off used to work, but stopped for everyone.
Your organization's trial probably ended without a subscription. An admin can subscribe to restore access.


I don't see the option to start a trial.
Your organization has already used its one-time trial. You'll need to subscribe to get Time Off Pro.


Time Off stopped working after a billing change.
The Time Off Pro subscription was likely cancelled. Re-subscribing restores it — cancelling Time Off Pro never affects your core Toggl plan.


I can see my own time off, but nothing for my team.
That's expected without a role that includes approvals — check with an admin about your role, and confirm the organization is subscribed or trialing.
